G-Lock EasyMail? |
How to manage, maintain and clean bounced or undelivered emails from your
mailing list?
G-Lock EasyMail can determine up to 70-90% of nonexistent addresses in the
direct delivery mode. Most of them are nonexistent mailboxes. A mail server
refuses to receive a letter for the given user because the mailbox does not
exist. In sending log of such a message you can see the following records (attention to
the line beginning from "550"):

The rest of addresses are from already nonexistent domains. G-Lock EasyMail
searches for such addresses by sending a request to the DNS server and
determines that there are no mail servers on the Internet for this domain. In
this case you will see in the "Result" column: "DNS
Error: Name error", "DNS Error: Server failure" or
"DNS Error: No mail servers were found".
Some SMTP servers receive all messages for any users and after that find the
user and if the user is absent, the servers create a message with the error and
details about the reason of non-delivery and return it to the sender.

Email Processor will help you to detect and process soft bounced
and hard bounced emails that could not be caught by EasyMail in the direct send mode.
To collect all the messages which bounced back to your email account, it is
very convenient to make a special email account where bounced emails will come
back to. Then enter this email address as Return
E-mail Address in the EasyMail Accounts window. So, all bounced emails
will return to this address. Now you can let Email Processor handle these
messages. Email Processor will gather all the bounced emails from the
appropriate account, extract email addresses from these messages and save them
to a file. Then you can load this file into the EasyMail Exclusion List. For
this purpose, go to the Send Manager window, select the Exclusion List folder
from the appropriate group, click the right mouse button and select the
Load Exclusion List From Mailing List
option from the popup menu. Next time when you do a mailing campaign, EasyMail
will not send a message to the email addresses which are stored in the Exclusion
List folder.
Note: it is not obligatory to create a
special email account for bounced messages. You can use your regular email
address. But in this case you should run Email Processor first and then receive
the rest of your incoming messages using your mail client software.
The processing of unsubscribe requests works on the same algorithm. First the
Email Processor handles all the messages with unsubscribe requests and then you
can receive the rest of incoming messages using your mail client software.
